Order Confirmations & Despatch Advice

Overview

Beyond invoices, Dynapro Electronic Documents sends two document types directly from the source document: an EDI order confirmation from a sales order, and a despatch advice (package slip) from a posted sales shipment. Sales/order administrators send these as part of order handling.


Sending an Order Confirmation

Open the sales order and use the EDI action group:

  1. Choose Send EDI Confirmation.
  2. The app builds the order confirmation and delivers it to the customer through EDI.

If a confirmation was already sent, the app warns you before sending again. After sending, EDI Order Conf. Sent is set on the order.

Who receives the confirmation is controlled per customer by EDI Order Confirm. Recipient: the value from the EDI file, or the Sell-to, Bill-to, or Ship-to party. A separate Order Confirmation Sending Profile and Email for Order Confirmation can be set per customer. See Trading Partners.


Other Sales Order EDI Actions

Action Does
Open EDI Order Opens the EDI order linked to this sales order.
Electronic Document Transactions Shows all EDI transactions related to the order.
Add Freight Line Calculates the number of pallets per line and adds a freight line. Enabled when the customer is flagged for freight.

The Electronic Documents field group on the sales order shows EDI Order Changed, EDI Order Conf. Sent, Prevent Automatic Sending, and Ship-to GLN.


Sending a Despatch Advice

A despatch advice is a BEAst package slip sent from a posted sales shipment:

  1. Open the Posted Sales Shipment.
  2. Choose Send EDI Package Slip.
  3. The app sends the package slip to the sell-to customer through EDI.

If a package slip was already sent, the app warns you first. After sending, Package Slip Sent is set on the shipment.


Freight Lines

For customers flagged with Add Freight Charge, the Add Freight Line action calculates pallets from the sales lines and adds a freight line to the document. The freight item and pallet units of measure are configured in setup:

Setting Description
Freight Item No. The item used for the freight line.
Pallet Unit of Measure Code The unit of measure for pallets.
Unit of Measure Rounding Whether pallets are rounded per line or once for all lines.
